How do I manage Quick Quote Agents in the Drumkit Portal?

Quick Quote Agents automatically draft rate quotes for inbound emails based on rules you or your team have set up. This article explains what you can see and do on the Agents page in Drumkit Portal, depending on your role, and how to update your agent's pricing rules yourself.
Find this page at app.drumkit.ai/agents (click Agents in the top navigation). This link is always visible in the nav, even if you don't have any agents set up yet. You'll just land on a page inviting you to reach out and get started.
Who can see which agents
There are two views of the Agents page, depending on your role:
If you're a standard user (broker): You'll see only the Quick Quote agents assigned to you, whether that's directly to you, through a group, or company-wide. The subtitle on the page will read "Manage and view your Drumkit agents for you and your team."
If you're a company admin: You'll see every Quick Quote agent at your company, not just your own. The subtitle will read "Viewing all Drumkit agents at your company." You'll also see two extra columns:
Scope: shows how each agent is assigned, as Company-wide, User group, Specific users, or Unassigned (meaning nobody is assigned yet, so the agent won't run). If an agent is assigned to both a group and individual people, it will display as User group. Check the Enabled For column if you want the full picture of exactly who's included.
Enabled For: shows exactly who the agent runs for. If it's shared widely, you'll see the first couple of names or groups plus a "+N more" you can hover over for the full list. If it's assigned to you, you'll also see a You chip.
Admin access is granted by the Drumkit team; there's no toggle to turn it on yourself. If you'd like a manager to have visibility into their team's agents, just reach out. Note that today, admin access shows all company agents, not just one team's, so it's worth confirming that's what you want first.
Just been promoted to admin? Sign out and sign back in to Drumkit Portal. Your new access takes effect on our end right away, but your browser needs a fresh login to fully reflect it. A simple refresh will update your agent list, but Agent History won't show the User column (identifying whose invocation is whose) until you've signed all the way out and back in. To avoid confusion, signing out and back in is the safest first step any time your access level changes.
What you can edit yourself
Anyone who can see an agent, not just admins, can update its pricing instructions. This isn't an admin-only capability, so if you have an agent assigned to you, you can adjust it without waiting on Drumkit.
To update your pricing rules:
Go to app.drumkit.ai/agents and click Edit on the agent.
Under Buy Rate Instructions or Sell Rate Instructions, describe the change in plain English. For example:
"For van loads, apply a flat $200 markup."
"For reefer loads over 800 miles, apply 12% markup and set minimum margin to $180."
Click Validate Instructions. Drumkit will confirm it can execute each line and show you a preview of exactly what would change.
Once everything comes back Supported, click Save Validated Rules. If the button is greyed out, hover over it. A tooltip will tell you exactly why (for example, it still needs validation, or a validation has gone stale).
A few things worth knowing:
If you edit the text after validating, you'll need to validate once more before saving. Any keystroke after a successful validation invalidates it, and you'll see a message saying so.
A validation is only good for 30 minutes before it expires. Validate again if you've stepped away.
You can run up to 10 validations per hour. If you hit that limit, you'll see a message asking you to wait; nothing is broken, it's just a pacing limit for rapid iteration.
New rules apply to the next quote request the agent handles, not to drafts already sitting in your inbox. To confirm a change worked, check the agent's next invocation in Agent History rather than looking at an existing draft.
Rules can be edited even on a Disabled agent. The agent will simply keep the updated rules ready to use once it's turned back on, since a disabled agent doesn't quote in the meantime.
What's read-only in the Portal
The following can be viewed on the Agents page but can't be changed there. These require a request to Drumkit:
Who an agent runs for (its assignments)
Turning an agent on or off (pausing/resuming)
Creating, deleting, or duplicating an agent
The agent's name, sender list, tasks, or quote strategy
Why assignments are read-only: An agent's pricing rules are configured specifically for the person or team it runs for. If we let assignments move without also moving that configuration, whoever was newly added would get a noticeably worse quoting experience. So we handle assignment changes ourselves to keep both in sync. Just let us know who you'd like added or removed and we'll take care of it.
Why there's no pause/resume button yet: This is on our radar, but for now, just tell us which agent and we'll pause or re-enable it right away. Pausing doesn't cancel anything already in progress; it just stops new quotes from being generated until it's turned back on.
If you try to open or edit an agent that isn't assigned to you, you'll see a generic "not found" message rather than a permissions error. That's expected behavior, not a bug. It's designed that way so the Portal doesn't reveal which agents exist elsewhere in the company.
Frequently asked questions (FAQs)
Q: Why do I only see one agent when my company has several?
A: You see the agents assigned to run for you. A manager or admin at your company can see all of them.
Q: I was just made an admin, but I still only see my own agents.
A: Sign out and sign back in to Drumkit Portal. Your new access takes effect right away on our end, but your browser needs a fresh login to reflect it fully. If you still don't see all company agents after signing back in, check with us that the role change actually went through.
Q: As an admin, I can see other people's agent activity in Agent History, but I can't tell whose is whose.
A: Sign out and sign back in. This is the same step above: a simple refresh updates your agent list, but the column identifying who each activity belongs to only updates after a full sign-out/sign-in.
Q: Can I change how my agent prices loads?
A: Yes. Open Agents > Edit on your agent, describe the change in plain English, validate it, and save. You don't need an admin to do this for you.
Q: Can I add a teammate to my agent?
A: Not directly from the Portal. Assignments are managed by Drumkit so that the right pricing configuration moves with them. Reach out and we'll set it up.
Q: I saved new rules but my next quote looked the same. What happened?
A: New rules apply to the next quote request the agent handles, not to drafts already generated. If the next one still looks off, send us that email and we'll take a look at which rules fired.
Q: Why does my agent show "Disabled"?
A: It's currently paused and won't draft quotes. Let us know if you'd like it turned back on. You can still edit its rules while it's disabled; they'll take effect once it's re-enabled.
Q: Why isn't my agent quoting emails from a particular customer?
A: This is often caused by how the agent's sender list is set up. It matches an exact email address or exact domain, so for example an agent set up for @customer.com won't automatically match @mail.customer.com. If you suspect this, send us the sending address and we'll check the agent's configuration.
Q: In Agent History, some rows show "Link unavailable" instead of a link to the email.
A: That's expected. Email links only work for your own invocations, not ones belonging to other people on your team.
Q: What does being an admin give me?
A: Visibility into every Quick Quote agent at your company (not just your own), a view of how each is assigned and who it runs for, the ability to edit rules on any of them, and company-wide history of what each agent has done.
Q: Can I see just my team's agents as an admin, instead of the whole company?
A: Not yet. Admin visibility is currently all-or-nothing at the company level. If a team-level view would be useful to you, let us know; we're tracking interest in this.
Q: Can I turn an agent off myself?
A: Not yet from the Portal. Send us the request to support@drumkit.ai and we'll pause it right away.
Q: Can I copy an existing agent to set up a new one?
A: Not yet. This is on our roadmap. In the meantime, we'll help set up the new agent and you can fine-tune its rules yourself afterward.
Q: An agent shows Scope "Unassigned." Is that a problem?
A: Yes, generally. It means the agent exists but nobody is assigned to it, so it won't run for anyone. If you notice this, flag it to us; it usually means a setup step didn't get finished.
