Setting Up Automatic Email Bid Submission (for Admins)

Automatic bid submission lets your broker reps place bids on supported bidding portals straight from their inbox, without logging into the portal separately. Here's what's involved in turning it on.
How do we turn this on for our team?
This is set up by Drumkit, not self-serve, so talk to your Customer Experience Manager to get it scheduled. We'll need a few things from you:
Which bidding portal(s) you use, and the exact URL your team logs into.
A working portal login (username and password) that can already place bids manually. It needs to sign in with a username and password, since we can't use single sign-on accounts today.
Two or three real bid-request emails from that portal, forwarded to us as-is (not pasted or screenshotted). This is the step that most often gets missed, and it's the one that actually blocks setup. We identify these emails and pull the load number out of them automatically, and we can only build that from real examples.
Whether that portal expects a line-haul rate or an all-in rate. Some portals ask that fuel be excluded from the bid. If it's stated anywhere in the portal's own instructions, a screenshot is perfect.
Which reps should have it, by name and email. We typically start with a small group and expand from there.
With all of the above in hand, setup on a portal we already support is usually a same-week turnaround. A brand-new portal we haven't integrated before is a bigger lift, so let your Customer Experience Manager know early so it can go on the roadmap.

If you use a portal that's not on this list, let your Customer Experience Manager know. We track demand for new portals and prioritize based on it.
Where do our portal passwords live?
They're encrypted in Drumkit and securely stored. They're never displayed back in any interface. If a password changes on your side, just let us know and we'll rotate it.
Can we scope a login to specific reps?
Yes. A login can be shared across your whole company, scoped to a specific team, or assigned to an individual rep. It can also be scoped to specific shippers if you have more than one login for the same portal.
What if we have multiple logins for one portal?
That's supported and common, especially for larger teams. Reps choose from a login dropdown, and we recommend a default based on the shipper.
How do we know if bids are actually going through?
Reps get an email if a submission fails, and on success for every portal except CarrierPoint (where CarrierPoint's own confirmation covers it). We can also share adoption and success-rate numbers with you on request.
What happens if a bid fails?
The rep gets an email telling them to submit manually on the portal, with a direct link. Nothing is submitted silently, and nothing is retried automatically without a person reviewing it.
Will it ever bid on the wrong load?
We verify the load ID on the portal page before submitting, and we won't submit if it doesn't match exactly. If we can't confirm we're on the right load, we fail the submission rather than guess.
