Setting Up Shared Mailboxes in Drumkit for Outlook

This guide walks you through connecting a shared mailbox to your Drumkit account. If you run into any issues at any point, reach out to support@drumkit.ai and we'll be happy to help.


Overview

Enabling shared mailboxes is a one-time setup that involves two groups: your IT admin and your individual users. Here's what the process looks like:

  1. Admin grants permission → 2. Shared mailbox signs up → 3. Users relink their accounts


Steps for Your IT Admin

Step 1 — Grant admin consent for new permissions

  • Drumkit requires new permission scopes to support shared mailboxes. Your IT admin needs to approve these by visiting a consent URL unique to your organization.

  • Your organization's consent URL will need to be provided by the Drumkit team, so reach out directly to support@drumkit.ai to receive it. Once you have it, open it in a browser while signed in as a Microsoft admin and follow the prompts to approve.

Note: This step only needs to be completed once. Regular users do not need to do this.

Step 2 — Make sure the shared mailbox can sign in

The shared mailbox needs its own login credentials to connect to Drumkit. To check or set this up:

  • Go to admin.cloud.microsoft, find the shared mailbox, and confirm it does not say "Sign-in blocked." If it does, click Unblock sign-in and save.

  • Then click Reset password to create a password for the mailbox. We recommend unchecking "Require this user to change their password when they first sign in" to keep things simple.

Note: This does not require a Microsoft 365 license for the shared mailbox — just sign-in access.

Step 3 — Sign the shared mailbox up for Drumkit

Open an incognito/private browser window and go to app.drumkit.ai/signup. Sign up using the shared mailbox's email address and the password you just created. This allows Drumkit to receive and process emails from the shared mailbox.

Tip: If sign-up fails, wait a few minutes for Microsoft's systems to update with the new credentials, then try again.


Steps for All Users

Step 4 — Relink your Drumkit account

  • Each user needs to relink their account so Drumkit can pick up the new permissions and connect to the shared mailbox.

  • Go to app.drumkit.ai/relink and follow the prompts. On the welcome screen, Drumkit will automatically detect and connect any shared mailboxes you have access to. You can also add them manually if needed.

  • None of your existing Drumkit data will be affected.

Note: If Drumkit shows an error saying you don't have access to the shared mailbox, check with your admin that you've been granted access in Microsoft 365.

Step 5 — Troubleshoot the Outlook extension (if needed)

If the Drumkit extension isn't showing up or working in Outlook after relinking, try these steps in order:

  1. Close and reopen the Outlook app.

  2. If that doesn't help, uninstall and reinstall the Drumkit extension. You won't lose any of your Drumkit data.


Adding Shared Mailboxes Later

Shared mailboxes don't have to be set up during initial onboarding. If you'd like to add one later, follow the same steps above — your admin will need to sign the mailbox up at app.drumkit.ai/signup, and users should return to app.drumkit.ai/relink to connect it to their accounts.
