How to control which users can access Drumkit via Entra Groups

Overview

By default, once organizational consent is granted for Drumkit, any user at your organization can sign up and install Drumkit. If you want to limit access to specific teams or individuals, you can use Microsoft Entra groups to control who is eligible to install and use Drumkit.

Getting Started

Prerequisites

Before you begin, make sure you have:

• Completed organizational consent for all three Drumkit Entra apps (see The Three Drumkit Entra Apps Explained)

• Microsoft Entra ID administrator privileges

• An Entra group already created, or permissions to create one

Option 1: Allow All Users (Recommended for Most Organizations)

If you want all users at your organization to be able to sign up for Drumkit without restriction, you can disable the "assignment required" setting on each of the three Drumkit apps in Entra. This is the simplest setup and is recommended for most organizations.

1. In Microsoft Entra, navigate to Enterprise Applications

2. Search for and open each of the three Drumkit apps (Drumkit, Drumkit Portal, Drumkit Outlook)

3. For each app, go to Properties and set Assignment required to No

4. Save your changes

Once this is done, any user at your organization can sign up at https://app.drumkit.ai/signup without needing to be added to a group.

Option 2: Limit Access to Specific Users via an Entra Group

If you want to restrict Drumkit access to a specific team or set of users:

1. In Microsoft Entra, navigate to Enterprise Applications

2. Search for and open the first Drumkit app

3. Go to Users and Groups and click Add user/group

4. Select the Entra group you want to grant access to and click Assign

5. Repeat steps 2–4 for all three Drumkit apps

Important: The Entra group must be attached to all three Drumkit apps — Drumkit (backend), Drumkit Portal, and Drumkit Outlook — for users to successfully sign up and use the full product. If any one of the three apps is missing the group assignment, users in that group may encounter errors during sign-up or installation.

Adding New Users

When new team members join and need access to Drumkit:

• If using Option 1 (no assignment required): Users can sign up at https://app.drumkit.ai/signup without any admin action needed.

• If using Option 2 (Entra group): Add the new user to the Entra group. They will then be able to sign up without further admin intervention.
