Log check calls and exceptions

Last updated: October 23, 2026

The Track & Trace tab is where you keep a moving load up to date. Log a check call or an exception straight into your TMS, let Kit fill it in from the carrier's email, and schedule check-in emails so you don't have to chase the carrier by hand.

Open the load in the Active view and click Track & Trace. Which sections you see depends on your team's setup and your TMS.

Log a check call from a carrier's email

From: dispatch@blueridgecarriers.com
Subject: RE: Load FT-7890 status

Driver is rolling, just passed Louisville, KY around 2:15pm. On schedule for delivery tomorrow morning.

  1. Open the email. Kit says it found a check call for the load.
  2. Click the suggestion. Drumkit opens the load on Track & Trace with Submit Check Call filled in: status, city, state, date and time, and notes, each marked AI-filled.
  3. Check the values and fill in anything Kit couldn't, such as the Reason (and Source in Relay).
  4. Click Submit check call. Drumkit saves it to the load in your TMS, and it shows up in Check Call History.

No email? Fill in the same form yourself and click Submit check call. Don't need the suggestion? Click Skip Suggestion.

The field names follow your TMS. For example, Aljex calls the reason field EDI Reason, and Relay calls it Late Reason. Some TMSs also ask for an out time or Next Stop ETA.

Log an exception

If your team has exceptions turned on, use the exception form for problems like a breakdown or a late truck.

  1. On Track & Trace, scroll to Submit Exception.
  2. Describe what happened in Note. Depending on your TMS, the form may also ask for fields such as Exception Code, Driver, Carrier or Trailer #.
  3. Click Submit exception. It's added to Exception History.
Submit Exception with a note filled in, and an earlier detention in Exception History

If your team has notes turned on, the Submit Note section works the same way and keeps a Note History.

Schedule check-in emails to the carrier

If your team has Contact Carrier turned on, Drumkit can email the carrier for you at each stage of the load.

  1. Under Contact Carrier, tick the Event Triggers you want: Confirm dispatch, At pickup appointment, Confirm loaded, In-Transit, At dropoff appointment, Confirm unloaded and POD Collection.
  2. For each one, choose how it goes out under Send as:
    • New Email starts a new thread.
    • Reply to current thread replies in the email you have open.
    • Reply to thread by subject finds an earlier thread with the carrier by its subject and replies there.
  3. Set when it should go out, then click Show email draft to read or edit the message.
  4. Check the summary under Emails to be scheduled and click Schedule emails.

Done. Your scheduled emails are on the Outbox tab, where you can edit, reschedule or cancel them. See Manage scheduled carrier emails in the Outbox.

Reply to current thread works only while the Drumkit sidebar is open on that email. On a TMS page or with no email open, use New Email or Reply to thread by subject.

Shipper check-ins

Some teams also send the shipper regular updates. Under Shipper Check-ins, pick the Event Triggers (At pickup appointment, Loaded, At dropoff appointment, Unloaded), set a Frequency under Time triggers if you want regular updates in between, then click Schedule shipper emails. Tick Set check-in cadence as default to reuse your choices on the next load.

FAQs

I don't see Track & Trace, or some of its sections.

Track & Trace and each section in it (Contact Carrier, exceptions, shipper check-ins, notes) are turned on per team. Ask your Drumkit admin. Track & Trace isn't available for every TMS.

Can I change the wording of the carrier check-in emails?

You can edit any single email before it goes out, with Show email draft or later in the Outbox. The Drumkit team sets up templates for now; to change the one your team starts from, email support@drumkit.ai.

What time zone is Check Call History in?

Each check call's time is shown in the time zone of the place it was logged.

Does a carrier's reply update the load by itself?

No. Kit turns the reply into a suggestion. The check call is saved only when you click Submit check call.

I use Front. Why can't I search for a thread by subject?

Searching past threads by subject isn't available in Front. Use New Email or Reply to current thread.
